Report an incident on a vehicle
Report an incident, track its resolution and link it to the deposit settlement.
Reporting an incident keeps the damage history of a vehicle, tracks repairs, and reuses liability and estimated cost when settling the deposit.
Report an incident
From the Incidents page, click Déclarer un incident, or use the same action directly from the reservation concerned or from the Incidents tab of the customer's record.
- Véhicule: choose the damaged vehicle.
- Détails: enter the date and a description of what happened (required).
- State whether a third party is involved and their details.
- Choose the liability: customer, third party or undetermined.
- Enter the estimated cost, place the damage on the damage diagram and add photos.
Damage found during the return inspection (Dommage constaté au retour) also creates the incident, with the accident report form if you uploaded it and the damage placed on the diagram. The same happens when you interrupt a reservation because of an incident. When reported from a reservation, the incident stays linked to it.
Track the resolution
Each incident has a status: À traiter (to handle), Traitement en cours (in progress) or Traité (handled). The incident record gathers the description, third-party details, linked repairs, invoices and history.
At the top of the overview, Pourquoi cet incident (why this incident) explains where it comes from: damage found at the vehicle's return, rental interrupted for an incident, or manual report, with a link to the reservation concerned. Right below, a notice tells whether the vehicle is blocked with no return date, under repair (with the planned end of the maintenance) or available again. The Dégâts constatés (recorded damage) are shown on the vehicle diagram.
On a customer's record, the Incidents tab lists the incidents of that customer's reservations, newest first, with the vehicle, the reservation concerned, the date, the Responsabilité (liability) and the Statut (status). Incidents on a reservation where they are only the second driver are listed too, marked Client secondaire (secondary customer). The tab's Déclarer un incident (report an incident) button lists the customer's reservations whose check-in is done: pick one and the form opens with the vehicle and the reservation already filled in.
The vehicle stays unavailable until a maintenance is linked to the incident. Schedule the repair in Maintenance to make it bookable again.
Withhold the cost from the deposit
When the incident is linked to a reservation, the Retenir la caution window shows liability, estimated cost and applicable excess. See Collect and refund a deposit.
