Parent company and associates
How the Autoria team turns on the partitioned mode of a company whose associates each run an agency, what the exit charter provides for and how each associate accepts it.
Several associates can each run an agency of the same company. The company stays the only Autoria account: one tax identification number, one subscription, one invoice series, every invoice issued in its name. In partitioned mode, each associate works with the customers of their own agency.
How the company and its associates share the revenue is a matter for their agreement and for the company's accounting. Autoria provides a statement per agency that can serve as a basis, but does not calculate it.
An accompanied activation
The partitioned mode is not turned on from the application: the Autoria team sets it up with you. Before the activation, it checks that:
- the company is on the Réseau plan;
- its tax identification number is verified;
- it has at least two active agencies, listed in Paramètres, Agences tab;
- every active agency has at least one associate: the Owner or an Administrator of the company who has access to that agency;
- the company has declared how long it keeps customer records (see Customer record retention);
- a version of the exit charter has been published for the company.
What changes at the activation
- The company switches to partitioned mode and its offer becomes Associés.
- A shared customer record whose rentals all took place in a single agency can be attached to that agency. This is done once, at the activation, and it is traced; the documents of the record follow its agency. A record without any rental, or rented in several agencies, stays shared: every agency still sees it.
- A 30-day trial of the Réseau plan starts on the day of the activation. It does not replace a free period that lasts longer, nor a period already paid for.
Once attached, a record does not change agency anymore.
The exit charter
The charter sets in advance the rules that will apply when an associate leaves the company. It is versioned: each version is dated, and the Autoria team publishes a new one when a rule changes. The charter provides for:
- Notice: 15 days before a departure takes effect;
- Former associate access: the departing associate keeps read access to the history of their agency for 24 months by default, never longer than the customer record retention declared by the company. While a charter exists, that retention cannot be reduced below the access of the latest version, and the panel used to change the retention announces this minimum;
- Copy of documents: invoices, contracts and other documents stay with the company; the departing associate can take a copy of them;
- Customer transfer: the customers of their agency follow them as an archived copy.
These rules reflect provisional decisions, pending a lawyer's opinion. Every version of the charter states that it is provisional until that opinion is received. If the opinion calls for a change, a new version of the charter will be published.
Each associate accepts the charter
After the activation, every associate designated for an agency must accept the latest version of the charter before going on using Autoria:
- When they sign in, Autoria opens the Charte de sortie (Exit charter) page: version of the charter, publication date, agencies they are the associate of, the rules it provides for and, if there is one, the Dernière version acceptée (Latest accepted version).
- They tick « J'ai lu la charte de sortie et je l'accepte » (I have read the exit charter and I accept it), then click Accepter la charte de sortie (Accept the exit charter).
- The acceptance is recorded with its date and the fingerprint of the version read, then they are back on their dashboard.
Until they accept, they cannot work in the company. The other team members are not concerned.
At the activation, then at every new version published by the Autoria team, the associates who must accept the charter receive a notification in Autoria and an email with a link to the Charte de sortie (Exit charter) page. Every new version must be accepted in turn before going on. If a new version comes out while an associate is reading the charter, Autoria asks them to read the new version before accepting it.
When the Autoria team records the departure request of an associate, the version of the charter that applies to that departure is frozen: the most recent one every associate of their agency has accepted. A version published afterwards changes nothing for that departure.
